Public Records Request
District
Public records of the school district may be viewed by the public during the regular business hours of the administration offices of the school district. These hours are 9:00 a.m. – 12:00 p.m. and 1:00 p.m.- 4:00 p.m., Monday through Friday, except for holidays and recesses.
Persons wishing to view the school district’s public records will contact the board secretary and make arrangements for the viewing. The board secretary will make arrangements for viewing the records as soon as practicable, depending on the nature of the request.
REQUESTS FOR COPIES OF PUBLIC RECORDS
Requests for copies of public records may be made by telephone, in writing, or electronically. The district may require pre-payment of costs prior to copying and mailing.
COSTS FOR RECORDS REQUESTS
- First 50 Pages Free – The first 50 pages of standard copies are provided at no charge. After that, a fee of 10 cents per single-sided page and 20 cents per double-sided page will apply.
- Digital Copies – Digital records are free unless extensive staff time is required for retrieval, review, or preparation.
- Data Retrieval and Review – Requests requiring compilation of data or employee review time may incur reasonable fees based on the hourly rate of employees performing the work.
- Legal Review Costs – The cost of legal services required for redaction or review of confidential information may also be assessed.
- Postage – If mailing costs exceed $1, actual postage costs will be charged.
The district will waive fees for records that require less than thirty minutes of staff time to produce, excluding standard copying fees.
CONFIDENTIAL RECORDS
Pursuant to Iowa law, the board has determined certain records must be confidential due to safety or security concerns. These include, but are not limited to:
- Security procedures
- Emergency preparedness procedures
- Evacuation procedures
- Security codes and passwords
Confidential records will not be available for public examination or copying.
EXAMINATION OF RECORDS
Examination of public records must be conducted under the supervision of the district employee responsible for maintaining the records or their designee.
RESPONSIBILITIES
The board secretary is responsible for maintaining district records and ensuring compliance with public records laws. The board secretary is also responsible for responding in a timely manner to requests for viewing and receiving public information of the school district.
